Czech Post was established in 1993 at the same time as the Czech Republic became independent. Challenge

Development of a project to implement and support a solution for the daily processing of several types of structured documents, including all payment orders.

Solution

We delivered to the Czech Post the latest version of the eFLOW digitization platform for processing structured documents, including the use of our own applications. The solution also includes Kodak Alaris scanning workstations. We are currently providing service support for the supplied software solution and hardware equipment.

Challenge

Develop a project for implementation and support of a solution for automated processing of payment documents.

Solution

The increasing demands placed on the manual processing of payment documents and the desire to make the entire work process as productive as possible led the Slovak Post in 2001 to decide to choose an automated system.

We supplied the eFLOW digitization platform for processing structured documents, including the use of our own ScanLog and ScanIndex applications. The solution also includes Kodak Alaris scanning workstations. Throughout the project we provide service support for the supplied software solution and hardware equipment.

Czech Office for Surveying, Mapping and Cadastre

Czech Office for Surveying, Mapping and Cadastre is a central body of state administration, abbreviated as ČÚZK. It was established by Act No. 359/1992 Coll., on Surveying and Cadastral Authorities. The ČÚZK is based in Prague and is headed by a chairman who is appointed and dismissed by the Government of the Czech Republic. The ČÚZK has its own budget and is directly subordinate to the Government, in which it is represented by the Minister of Agriculture. The main work of the ČÚZK, or the bodies managed by it, is to ensure state administration in the field of real estate registration and property rights to real estate, which is represented by the Real Estate Cadastre of the Czech Republic and surveying activities in the public interest.

Challenge

To meet the need for efficient and uniform processing of large volumes of documents, ČZUK decided to equip its workplaces with the same scanning technology.

Solution

In 2014, we started cooperation with ČÚZK for the delivery and service of Kodak Alaris scanning technologies for all cadastral offices in the Czech Republic. With increasing processing demands and the development of new applications, we then replaced the existing scanners with the new Kodak Alaris i3200 and S2050 series in 2019. The delivery also included Kodak Capture Pro scanning software, including the required customizations.

All offices use the same technology and unified output document and data format, which significantly contributes to greater efficiency and better service to clients.

Service support for book scanners

The National Library of the Czech Republic (NLC CR) is the largest and one of the oldest public libraries in the Czech Republic, it ranks among the most important European and world libraries. The collection of historical and modern literature contains more than 7 million documents with an annual growth of 70,000 titles. Information about the documents is now available in electronic form according to international standards, and rare manuscripts and endangered printed materials are gradually being digitized.

Challenge

With the growing interest in digital versions of library collections, there is also a growing need to ensure the correct and trouble-free operation of the approximately 30 book scanners that the NCR uses in its locations.

Solution

Since 2017, we have been providing the National Library of the Czech Republic with scanning equipment services, which include regular prophylaxis and calibration of book scanners in all locations of the National Library of the Czech Republic. These include 4DigitalBooks DLmini, DL3003, scan2page, scanVpage PRO, Plustek OpticBook A300, Suprascan TM Quartz HD and Treventus ScanRobot 2.0 MDS book scanners.

At the same time, we provide all current versions of applications for operating scanning devices.

Building and operation of DigiCentre Jihlava

The General Health Insurance Company has been the leader of the Czech public health insurance system for almost 30 years. It was established on 1 January 1992, by Act No. 551/1991 Coll. Other health insurance companies were established over time under Act No. 280/1992 Coll., but with almost 6 million clients it is the largest health insurance company in the Czech Republic.

Challenge

Building and operation of DigiCentre Jihlava for processing documents of the General Health Insurance Company of the Czech Republic.

Solution

In 2013, we built and have since been operating a DigiCentre in Jihlava, where we process VZP documents on powerful Kodak Alaris scanners. Monitoring of the digitization process is provided by our own ScanLog application. This solution records all operations with the document from its receipt, through scanning, data recognition, its export, storage in the archive to eventual shredding. At the same time, it allows you to search for information about all the operations that have been performed on the document. It also provides information on all the persons who have processed the document, including the time taken for the partial operations. The ScanLog application complies with the requirements of the GDPR.

The document agenda in digital format allows VZP employees immediate access to the necessary data, contributes to the overall streamlining of workflow and improves services to clients.

Regional Digitization Unit of the Vysočina Region

Book scanner delivery

The Regional Digitization Unit was established in 2012 as part of the project Digitization and Storage in the Vysočina Region, which aimed to provide municipalities, towns and organizations of public and cultural administration with tools for the creation, preservation and use of digital documents and thus easier access to the cultural heritage of the region. The Regional Digitisation Unit is a workplace equipped with appropriate scanners and computer technology for digitisation of physical documents, subsequent processing of scans and creation of metadata. The Regional Digitisation Unit (RDU) is operated by the Regional Library of Vysočina.

Challenge

Book scanner deliveryfor the Digitization and storage project in the Vysočina Region.

Solution

In 2012, we participated in the delivery of a large-capacity robotic book scanner DL-mini-C from 4DigitalBooks for the Digitization and Storage project in the Vysočina Region.
For image processing and editing we supplemented the scanner with HMI scanning software and Page Improver software from the same manufacturer. We currently provide full service.

Benefits

The opportunity to provide municipalities, cities and public and cultural administration organizations in the region with tools for the creation, preservation and use of digital documents.

Census 2011

As one of Hewlett-Packard’s main subcontractors, we participated in the processing of the 2011 Population and housing Census data. Our services included data preparation, forms scanning, data capture, validation and generating output files for further processing.

We used seven high performance Kodak Alaris i750 document scanners to scan nearly 13 million forms, and the eFLOW 4.5 application for data capture and validation.

The entire operation and the premises, including scanning and validation, were regularly inspected by a systematic, independent and documented process of external audits in accordance with the ČSN EN ISO 9000:2006. The quality of processed data was evaluated with the help of measurable quality indicators, which meet the requirements and recommendations of the European Parliament, the Council of the EU and the Czech Republic.

SLBD 2011

The Statistical Office of the Slovak Republic is the central state administration body of the Slovak Republic in the field of state statistics and has been operating as an independent institution since 1 January 1993, the date of the establishment of the independent Slovak Republic.

Challenge

Execution of the project for the census of population, houses and dwellings in the Slovak Republic in 2011.

Solution

As one of the main subcontractors of IBM Czech Republic s.r.o., we designed three forms in five languages (Slovak, Hungarian, Romani, Ukrainian and Ruthenian) for this project. The scanning of approximately 9 million forms was carried out on five Kodak Alaris high-speed document scanners. Data recognition and validation was performed in eFlow.

As a result of our mutual cooperation, the files were intended for further processing by specialist departments of the SR.

Technology Centre of Ústí nad Labem Region

HW and SW delivery

Since the 10th century there have been many castles here, which were the strongholds of power in Přemyslid Bohemia. The Litoměřice chapter was founded as early as 1057, and its founding charter contains the oldest written records in Czech. Important noble families were the Berks of Dubá, the Wartenbergs, the Hrabišic family and the Hare family of Hazmburk. From the beginning of the 13th century a network of royal towns of Žatec, Kadaň, Louny, Most, Ústí nad Labem and Litoměřice was established. The latter gradually became the most important town in northern Bohemia; it was in Litoměřice that Pope Alexander VII founded the bishopric on 3 July 1655.

Challenge

Develop a project to strengthen the infrastructure of the Ústí nad Labem Region for secure processing, storage and transmission of data, streamlining and improving the quality of internal and external processes, transparency of performance and modernization of public administration.

Solution

Between 2010 and 2014, as the main contractor, we implemented the project of the Technology Centre of the Ústí Region, together with our subcontractors CDL Systém a.s. and ICZ a.s. The entire project was carried out in several stages. First, we supplied HW and system software for the construction of the main and backup data centre, including Identity Management, followed by HW and SW equipment for the digitization and storage of information, including a book and large format scanner, and finally the integration of newly acquired and existing information systems. We are currently providing service support.

Use of the services of the Technology Centre not only by the Statutory City, but also by the municipalities that fall within its administrative district.

Municipal district of Prague 2

Building archive digitization

The Prague 2 municipal district includes within its boundaries part of Nové Město, Vyšehrad, part of Královské Vinohrady and part of Nusle. The creation of this unit occurred during the administrative division of the Prague territory into 10 districts in 1960. This reorganization broke up traditional urban districts into sometimes up to four or five new districts and broke numerous historical ties. The history of the territory that Prague 2 occupies goes deep into the Czech past.

Challenge

Develop a project for the digitization of the archive, which included documentation of buildings, linear structures, parks and the Vyšehrad area. The text and drawing part included documents from the 19th century to the present.

Solution

In 2010, we provided the Prague 2 Municipal Office with a solution for the project “Digitization of the building archive”. In order to minimize the risk of loss or damage of documents, we carried out the digitization directly at the customer’s premises. Scanning of the text part was done on Kodak Alaris scanners with A3 flatbed and Kodak Capture Pro application, scanning of the drawing part was done on Contex large format scanner. For indexing we used our own application ScanIndex. At the same time as the digitization of the archive we also processed the newly created documentation.

Benefits

By the end of 2013, we had processed the entire archive, which contained 1.6 million A4 pages. The archive is now accessible to the wider public and facilitates the retrieval of documents for construction proceedings.
