Challenge

Develop a project for implementation and support of a solution for automated processing of payment documents.

Solution

The increasing demands placed on the manual processing of payment documents and the desire to make the entire work process as productive as possible led the Slovak Post in 2001 to decide to choose an automated system.

We supplied the eFLOW digitization platform for processing structured documents, including the use of our own ScanLog and ScanIndex applications. The solution also includes Kodak Alaris scanning workstations. Throughout the project we provide service support for the supplied software solution and hardware equipment.

Czech Office for Surveying, Mapping and Cadastre

Czech Office for Surveying, Mapping and Cadastre is a central body of state administration, abbreviated as ČÚZK. It was established by Act No. 359/1992 Coll., on Surveying and Cadastral Authorities. The ČÚZK is based in Prague and is headed by a chairman who is appointed and dismissed by the Government of the Czech Republic. The ČÚZK has its own budget and is directly subordinate to the Government, in which it is represented by the Minister of Agriculture. The main work of the ČÚZK, or the bodies managed by it, is to ensure state administration in the field of real estate registration and property rights to real estate, which is represented by the Real Estate Cadastre of the Czech Republic and surveying activities in the public interest.

Challenge

To meet the need for efficient and uniform processing of large volumes of documents, ČZUK decided to equip its workplaces with the same scanning technology.

Solution

In 2014, we started cooperation with ČÚZK for the delivery and service of Kodak Alaris scanning technologies for all cadastral offices in the Czech Republic. With increasing processing demands and the development of new applications, we then replaced the existing scanners with the new Kodak Alaris i3200 and S2050 series in 2019. The delivery also included Kodak Capture Pro scanning software, including the required customizations.

Benefits

All offices use the same technology and unified output document and data format, which significantly contributes to greater efficiency and better service to clients.

Census 2011

As one of Hewlett-Packard’s main subcontractors, we participated in the processing of the 2011 Population and housing Census data. Our services included data preparation, forms scanning, data capture, validation and generating output files for further processing.

We used seven high performance Kodak Alaris i750 document scanners to scan nearly 13 million forms, and the eFLOW 4.5 application for data capture and validation.

The entire operation and the premises, including scanning and validation, were regularly inspected by a systematic, independent and documented process of external audits in accordance with the ČSN EN ISO 9000:2006. The quality of processed data was evaluated with the help of measurable quality indicators, which meet the requirements and recommendations of the European Parliament, the Council of the EU and the Czech Republic.

Challenge

The increasing number of clients meant that the company had to process a larger volume of client documentation efficiently and as quickly as possible. The company was looking for a solution that would significantly speed up the processing process, minimize costs and at the same time give them control over the entire process.

Solution

We have offered Kooperativa pojišt’ovna, a.s., Vienna Insurance Group delivery of large-capacity production A3 scanners Kodak i4650 for scanning all incoming paper client documentation and production A3 scanner Kodak S3060f including A3 flatbed for scanning internal documents. Included was Kodak’s Capture Pro scanning application for converting large volumes of documents into high quality images for further processing.

Benefits

Despite the significant increase in the digitization of processes, Kooperativa still processes a large volume of paper documentation. High-quality scanning technology and automated extraction of incoming paper documents contribute significantly to bridging the gap between the paper and purely digital worlds and speed up communication with clients.

Challenge

Development of the digitization project and data capture from ballot papers/forms cast during the election held at the 8th Assembly of the Czech Bar Association within 4 hours from the receipt of ballot boxes.

Solution

In October 2021, we again participated in the project Processing of voting results for the Czech Bar Association as a subcontractor of Konica Minolta Business Solutions Czech, spol. s r.o. Due to the time constraints of the processing, 5 powerful Kodak Alaris scanners were used for the actual digitization and checking the extracted data. The IBM Datacap solution was used for data extraction.

Benefits

The results were handed over to the Chairman of the Electoral Commission in 3 hours and 45 minutes.

Building archive digitization

The town was founded in the 14th century by Charles IV. According to legend, the emperor had it built soon after the accidental discovery of thermal springs by his hunting party. The spa enjoyed the favour of many noble families and wealthy townspeople as early as the 16th century. Due to several natural disasters, only a few buildings from this period have survived. Most of the architectural monuments date back to the 18th and 19th centuries, when the town experienced a “period of plenty”.

Challenge

Develop a project for the digitization of the archive, which included documentation of different ages, quality, formats, weights and media. Approximately a quarter of it was from the period before World War II.

Solution

In 2012 and 2013 we participated in the project Ensuring data and information transfer in the territory of the Statutory City of Karlovy Vary. In order to minimize the risk of loss or damage of documents, we performed digitization directly at the customer’s premises. Scanning of the text part was performed on Kodak Alaris scanners with A3 flatbed and Kodak Capture Pro application, scanning of the drawing part on Contex large format scanners. For indexing we used our own application ScanIndex.

Benefits

By the end of 2013, we had processed the entire archive, which contained 4.4 million A4 pages. The archive is now accessible electronically to the wider public, facilitating the retrieval of documents for construction proceedings. The archive also provided important information for the inscription of the historical part of Karlovy Vary on the UNESCO list of monuments.

The Czech Republic Presidential Election 2013

Processing of petition sheets

Since 2012, the President of the Czech Republic has been elected by direct vote. Between 1993 and 2012, the President of the Czech Republic was elected indirectly by Parliament.

A citizen who is eligible to vote and has reached the age of 40 can be elected President of the Republic. In the Czech Republic, the term of office of the President is 5 years. No one can be elected more than twice in a row, nor can a citizen who has been punished for treason or for a gross violation of the Constitution or any other part of the constitutional order be elected. To be eligible to stand as a candidate, at least 20 deputies or 10 senators or at least 50 000 citizens must sign a petition. Historically, the first person to be elected by direct election was Miloš Zeman in 2013.

The election takes place during the last sixty days of the term of office of the incumbent President of the Republic, but no later than thirty days before the expiry of his term of office. If the office of President of the Republic becomes vacant, the election shall be held within ninety days.

Challenge

Processing of more than 90 thousand petition sheets for the election of the Czech Presidential Election 2013.

Solution

In 2013, as a subcontractor of Hewlett Packard, we provided scanning of the petition sheets of candidates for the preparation for the election of the President of the Czech Republic. Due to strict security requirements and short processing time, we used proven Kodak Alaris scanners, Kodak Capture Pro scanning software, and our own ScanIndex solution and ABBYY Recognition Server OCR software for validation and indexing. Monitoring of the entire digitization process, including all individual steps, was recorded by our own iCapta Log application.

Benefits

The results of the 2013 Czech Presidential Election were known within a very short time after processing.

Bauer Media v.o.s.

Media Group Mafra | Archive digitization

Bauer Media v. o. s. is a Czech publishing house owned by the German company Heinrich Bauer Verlag KG. In autumn 2018, most of its activities were acquired by the media house MAFRA. The publishing house produced a wide range of social magazines, while its subsidiary Bauer Media Prague focused on lifestyle titles.

Challenge

To develop a project to digitize the magazine archive (the predecessor of the current Television Weekly), to unify the output sizes of the individual formats and to maintain a graphic resolution that will allow immediate use in graphic preparation for print.

Solution

We used powerful Kodak Alaris document scanners and Epson graphic scanners to digitize paper photographs, magazine covers and slide and negative photo materials.

Benefits

The outcome of the entire project was a new digital archive of various types of image templates (photographs, slides, negatives) and paper documents (programmes, invitations, postcards, magazine covers, photographs from cinema signboards) and a sorted and clearly labelled archive of original materials.

Municipal district of Prague 2

Building archive digitization

The Prague 2 municipal district includes within its boundaries part of Nové Město, Vyšehrad, part of Královské Vinohrady and part of Nusle. The creation of this unit occurred during the administrative division of the Prague territory into 10 districts in 1960. This reorganization broke up traditional urban districts into sometimes up to four or five new districts and broke numerous historical ties. The history of the territory that Prague 2 occupies goes deep into the Czech past.

Challenge

Develop a project for the digitization of the archive, which included documentation of buildings, linear structures, parks and the Vyšehrad area. The text and drawing part included documents from the 19th century to the present.

Solution

In 2010, we provided the Prague 2 Municipal Office with a solution for the project “Digitization of the building archive”. In order to minimize the risk of loss or damage of documents, we carried out the digitization directly at the customer’s premises. Scanning of the text part was done on Kodak Alaris scanners with A3 flatbed and Kodak Capture Pro application, scanning of the drawing part was done on Contex large format scanner. For indexing we used our own application ScanIndex. At the same time as the digitization of the archive we also processed the newly created documentation.

By the end of 2013, we had processed the entire archive, which contained 1.6 million A4 pages. The archive is now accessible to the wider public and facilitates the retrieval of documents for construction proceedings.
