As the number of clients grew, the company began to encounter a large number of accounting documents that needed to be processed efficiently and effectively. We offered Uniqua Pojišt’ovna a.s. the processing of accounting documents in the form of Business Process Outsourcing (BPO). This process involves extracting data from all incoming invoices of Uniqua a.s. group companies in DigiCentre scanservice a.s. in Prague. All accounting documents are delivered exclusively electronically, invoice data is extracted automatically, and the extracted data is automatically verified and matched.

The ever-increasing volume of the business agenda required a solution that would ensure timely, efficient and, above all, reliable document processing.

Solution

As part of Business Process Outsourcing (BPO), we provide comprehensive document digitization services for all of Clearstream’s European and non-European sales departments. The solution provided includes high-performance Kodak Alaris scanning technology and a team of skilled operators to process one to several thousand documents per day. The processing is done in-house at Clearstream’s offices in compliance with all strict internal security rules.

Solution

Since 2014, we have been providing Komerční banka with the services of our DigiCentre in the form of Business Process Outsourcing (BPO) for sorting, digitizing, registering, storing and managing documentation.

Monitoring of the digitization process is provided by our own ScanLog application. This solution records all operations with the document from its receipt, through scanning, data recognition, its export, storage in the archive and eventual shredding. At the same time, it allows you to find information about all operations that have been performed on the document and provides information about all the people who processed the document, including the time consumption of partial operations.

The ScanLog application complies with the requirements of the GDPR.

Drivalia Lease Czech Republic s.r.o. was founded in the Netherlands in 1963. It currently operates in more than 30 countries. It looks after 1.9 million vehicles and employs more than 6,800 industry professionals. Drivalia Lease Czech Republic s.r.o. started operating in the Czech Republic in 1995. In 1996, Drivalia Lease Czech Republic s.r.o. handed over its first vehicle to its first client, the telecommunications company TelSource. Until 1996, the concept of operating leasing was virtually unknown in the Czech Republic, or rather, no one offered such leasing. A car could be purchased either for cash or on a classic lease. Since 2003 we have been providing digitization and data capture from leasing contracts in the form of Business Process Outsourcing (BPO) for Drivalia Lease Czech Republic s.r.o. We process an average of 15,000 pages of documentation per month. A specific feature of this project is the irregularity of documentation receipt. Thanks to the sufficient personnel and technical capacities of our DigiCentre, we are able to respond flexibly to the current demand. The actual processing of the documentation takes place on powerful Kodak Alaris scanners and Kodak Capture Pro solutions. We use the QuickImage application to index documents.

Digitization of financial documents

The J&J GS Centre in Prague was established in March 2006, when it began providing services related to the processing of supplier invoices in the EMEA region. It later took over the receivables process, laying a key foundation for comprehensive financial support for business partners in the region. Thanks to its convenient location and globally successful ten-year history, the Prague centre has not only been providing financial support since 2016, but has also expanded into the areas of procurement and human resources.

Challenge

Business Process Outsourcing (BPO) project of scanning and capture of financial documents and subsequent data transfer to SAP system within 24 hours of delivery, in urgent cases within 1 hour.

Solution

Since 2006, we have been providing the service of scanning and data capture from financial documents in the form of Business Process Outsourcing (BPO) and subsequent data transfer to the SAP system. This includes invoices and related documents (reminders, delivery notes, bank statements). The employees of the specialized DigiCentre not only have knowledge of financial documentation and accounting, but also the appropriate language skills. We process both original paper documents and scanned documents. Scanning is performed on Kodak Alaris scanners, and OCR is performed using the IBM Datacap OCR system.

Monitoring of the digitization process is provided by our own ScanLog application. For automated processing of scanned documents sent as e-mail attachments, we have developed the ScanCollector application, which ensures automatic download of e-mail messages, their sorting by validity and subsequent conversion into a uniform format.
